Every swipe, every like, every TikTok video we upload, every Zoom call we have, every Netflix video we watch, or everything we buy online is all processed and depends on… data centers. However, these data centers consume large amounts of energy due to the underlying technology we use every day all day.

How?

We have developed an AI-based analytics platform that captures the entire data center (DC) infrastructure—”from roof to room”—to bring the whole DC into a more optimal state. This platform saves energy, water, and scope 3 emissions while increasing reliability and sustainability in data centers across countries like Germany, France, the UK, Australia, and The Netherlands.

About the Role

As office manager in Coolgradient, you will be central in ensuring the administrative functioning of our dynamic and fast-growing startup. You will not only ensure the smooth running of our office but also take on key financial responsibilities to support our operations. This role is ideal for someone who is detail-oriented, enjoys multitasking, and thrives in a startup environment.

Responsibilities:

  • Oversee the daily operations of the office, ensuring a well-organized and efficient work environment. 
  • Provide comprehensive administrative support to the executive team, e.g. by planning travel and accommodation for event attendance or client visits.
  • Assist in organizing company events, meetings, and team-building activities, both virtual and in-person, to enhance team cohesion and morale.
  • Ensure accurate and timely payroll processing and data entry to financial systems.
  • Assist in the preparation of budgets and forecasts.
  • Prepare and send invoices to clients.
  • Track payments and follow-up on outstanding invoices.
  • Assist with financial and HR administrative tasks, such as filing and document management.


Job requirements

Skills:

  • 1-3 years of experience in an office management role with financial or accounting responsibilities, preferably in a startup or fast-paced environment.
  • Proficiency in Microsoft Office Suite, particularly Excel.
  • Experience with accounting software (e.g., Exact online) is a plus.
  • Strong analytical and problem-solving skills.
  • Excellent attention to detail and organizational skills.
  • Ability to work independently and as part of a team.
  • Fluency in Dutch and English
